Written communication refers to that communication which is done in writing and it is the most common and prevalent form of communication when it comes to business or companies. Advantages of Written Communication
Record and Preservation
Written communication can easily be preserved for a long period of time which makes it easy to recollect any information which is needed by the company from time to time and also in case of any dispute it is the written communication which can be used as an evidence which is not possible in case of oral and nonverbal communication.
No Need for Personal Meeting
It can be sent anywhere from one part of the world to another part of the world over email, through post and fax and hence the communicator does not need to meet the person for whom the communication is intended.
Authoritative in Nature
It is more authoritative in nature which results in subordinates taking the instructions seriously from the superior which is not the case with oral communication where oral orders are taken for granted which results in work not getting done. Furthermore when one wants to delegate an important work than this communication is the only way because authority and responsibility cannot be delegated verbally.
Disadvantages of Written Communication
Expensive and Time-Consuming
The biggest problem with it is that it is expensive as compared to oral communication because of the need of paper, pen if the communication is in writing and a computer and the internet if the written communication is in digital form. Another problem is that it is very time-consuming because it takes time to write all the instructions in proper form which is not the case with oral communication which is done in very quick time.
No scope of Flexibility
It is less flexible because instructions in writing cannot be changed easily based on the feedback of the person to whom the instructions are given. In simple words, it does not leave the scope of inputs from the person to whom the instructions are given and a person has to do the work according to written instructions even if those instructions are wrong or are not beneficial for the company.
In case of the business where every minute counts and any delay can lead to a big loss for the company, written communication makes things worse as written communication is done through standard process and in crunch situations where quick response is needed this communication is not the ideal communication and companies have to resort to oral communication.
As one can see from the above that written communication has advantages as well as disadvantages but as far as business or companies are concerned it is the written communication which continues to be preferred method of communication.
